Who we are & what this covers
CarrierFlo LLC, an Ohio limited liability company (“CarrierFlo,” “we,” “us”), provides software for freight operations. This policy describes information handled through our website, workspaces, customer portals, tracking features, integrations, and support.
For account administration and our own website and business activities, we determine how information is used. When a carrier or other business adds information about its drivers, customers, or shipments, we process that workspace information to provide the service to that business. Its own privacy practices also apply. If you use a workspace provided by another organization, contact that organization about its use of your information.
Information we handle
Account and contact information: names, email addresses, phone numbers, company details, roles, sign-in information, support requests, and communications you send us.
Operational information: loads, pickup and delivery details, customer and driver records, vehicle and trailer details, documents, proof of delivery, invoices, settlements, compliance records, messages, and files you upload or import. What we receive depends on the features you use and the information your organization provides.
Connection and location information: authorization details and records made available by connected providers, which can include vehicle identifiers, precise location, trip and mileage data, driver status, and hours of service. Tracking features can also receive location shared through a device when permission is granted.
Technical and billing information: IP addresses, browser and device details, timestamps, service requests, error and security logs, preferences, subscription details, and payment status. Stripe processes subscription payments; payment information submitted to Stripe is also subject to its privacy policy.
How information is used
We use information to create and authenticate accounts, provide the features you request, organize freight records, display fleet information, process documents, enable customer collaboration, and administer subscriptions.
We also use information to respond to questions, troubleshoot and improve the service, prevent misuse, protect accounts, maintain business records, and meet legal obligations. We may send service, security, or billing communications. You can ask to stop promotional emails without affecting essential account communications.
Fleet tracking & customer sharing
Connecting a fleet provider permits CarrierFlo to retrieve the information available under that connection’s permissions. Your organization is responsible for providing appropriate notices and obtaining any required permissions from drivers and other people whose information it connects or uploads.
Workspace members can access information according to their roles and the features available to them. Customer portals and shared tracking links expose the records or updates associated with that sharing feature. Treat access links and invitations as confidential and review the recipient and content before sharing.
You can manage device location permission through your browser or device settings and manage provider access through the connection settings or the provider. Stopping future access does not automatically delete records already collected or copies already shared.
Service providers & other disclosures
We use service providers to operate the software, including hosting, authentication, database and file storage, payment processing, email delivery, mapping, and AI processing. These include services such as Vercel, Supabase, Stripe, and Mapbox where used by the relevant feature. Providers receive information needed for the service they perform.
When you enable an integration, send a message, share a record, or use a third-party service, the recipient may process information under its own terms and privacy policy. We may also disclose information when reasonably necessary to comply with law, protect rights or safety, investigate abuse, or support a merger, acquisition, or transfer of the business, subject to applicable protections.
AI & document processing
AI-assisted features, including Vaheer and document extraction, can send your prompts, conversation context, document content, and relevant workspace information to AI processing providers to produce a response. The amount and type of information depend on the feature.
Use these features only with information you are authorized to provide. AI results can be incomplete or incorrect; review extracted records, calculations, and suggestions before using them. Contact us if your organization needs additional information about AI processing before enabling these features.
Cookies & browser storage
The service uses cookies and browser storage for functions such as keeping you signed in, remembering preferences, and maintaining local workspace state. Some data may remain on a device until you sign out or clear browser storage. Use care on shared devices.
You can manage cookies and local storage through your browser. Blocking or clearing them can affect sign-in and workspace functionality. Third-party services you choose to open or connect may use their own cookies and similar technologies.
Retention & security
We retain information for the purposes described in this policy, including providing an active workspace, maintaining required business records, resolving disputes, and preventing abuse. Retention depends on the record, the account relationship, legal requirements, and operational needs; it is not a single fixed period for every record.
You can contact us about deleting an account or particular information. Some records may need to be retained for legal or legitimate business reasons, and removal from backups may not be immediate. A deletion request does not remove copies held independently by recipients.
We use technical and organizational measures designed to protect information, including account authentication and access restrictions. No system or transmission is completely secure. Keep credentials and access links private, review workspace access, and notify us if you suspect unauthorized use.
Your rights & choices
Depending on your location and applicable law, you may have rights to request access, correction, deletion, or a portable copy of personal information; object to or restrict certain processing; withdraw consent where processing relies on it; or appeal a decision about a request. Some rights are subject to exceptions and verification.
Email hello@carrierflo.com with your request and enough information to identify the account or relationship involved. Do not send passwords or unnecessary sensitive documents. We may verify your identity and, for organization-controlled records, coordinate with the workspace administrator. You may also contact the relevant privacy regulator where applicable.
International use & children
CarrierFlo is operated from the United States. We and our providers may process information in the United States and other countries where services are operated. Those countries may have different data protection laws. Contact us before providing information if your organization requires particular residency or transfer arrangements.
CarrierFlo is a business service for adults, not a service directed to children under 13. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.
Updates & contacting us
We may update this policy as the service or our practices change. The date above identifies the latest revision. Where required, we will provide additional notice or obtain consent for material changes.
